Canned responses that do not read like canned responses

A saved reply is supposed to save time. Too often it saves time for the agent and costs it back in customer trust, because the customer can tell they received paragraph four of a script.

The fix is not to write better scripts. It is to narrow what a saved reply is allowed to do.

Three rules

  1. Save the structure, not the sentence. "Here is what happens next, and here is when you will hear from us" survives editing; a paragraph of apology does not.
  2. Leave a slot for the specific. If the reply has no place for the customer's actual situation, it will read as generic no matter how well it is written.
  3. Do not save answers to questions you have not answered. A saved reply that closes a ticket without resolving it teaches customers to distrust the whole channel.

Used this way, saved replies keep the team consistent without flattening the conversation — which is also the standard an AI reply should be held to.
