Knowledge base before the shared inbox, or after?

The usual advice is to build a knowledge base first. For a three-person team that order is usually wrong: you end up writing documentation for questions nobody has asked yet, and none for the ones that arrive daily.

The order that works

  1. Run the inbox for two weeks. Let the questions accumulate.
  2. Tag the repeats. You will find three or four topics doing most of the work.
  3. Write only those. Three genuinely useful pages beat thirty speculative ones.
  4. Attach them to saved replies, so answering gets faster without sounding canned.

A knowledge base is not a documentation project. It is the record of questions you have already answered.
